Overview
This Privacy Policy explains how Royal Aminos collects, uses, discloses, protects, and retains personal information when you visit the website, complete research access, create an account, place an order, contact support, or participate in the Affiliate Program.
Information we collect
Depending on how you interact with Royal Aminos, we may collect:
- Identity and contact information: name, email address, telephone number, billing address, delivery address, and account identifiers.
- Research-access and consent information: age confirmation, researcher classification, accepted statements, policy version and fingerprint, timestamps, access-token hashes, IP address, user-agent hash, and related security evidence.
- Account and verification information: username, password hash maintained by WordPress, verification status, one-use verification-token hash, security events, and session information.
- Order and commercial information: items viewed or purchased, SKUs, strengths, lots, COA references, cart contents, discounts, referral attribution, order status, payment status, returns, refunds, claims, and shipping records.
- Payment information: payment method, status, provider transaction identifier, limited billing information, and any card brand or last digits returned by the payment provider. Complete payment-card numbers and security codes are handled by the selected payment provider rather than stored in the Royal Aminos WordPress database.
- Communications: support requests, contact-form information, order numbers, messages, attachments, and correspondence.
- Affiliate information: application and approval status, referral code, attribution records, masked customer email, discounted merchandise, commission, refund adjustment, payout, recovery, tax, and reconciliation information.
- Device and activity information: browser and device type, IP-derived information, referring page, requested pages, cart and account activity, error events, and security logs.
- Marketing or analytics information: only if optional newsletter, analytics, advertising, or similar tools are later enabled.
Do not submit Social Security numbers, medical records, patient information, clinical information, or other unnecessary sensitive information through the contact form or order notes.
How we collect information
We collect information directly from you, automatically through essential website technology, from payment and shipping providers, and from an approved affiliate referral when you follow a valid member link.
How we use information
- Operate, maintain, and secure the website.
- Administer the 21+ research-access gate.
- Create and preserve access, checkout, policy, and electronic-signature evidence.
- Create, review, accept, process, ship, and support orders.
- Verify accounts and prevent unauthorized access.
- Determine promotion eligibility and prevent repeat WELCOME25 claims.
- Attribute referrals and calculate, hold, adjust, reconcile, and report affiliate commissions.
- Process payments and refunds through selected providers.
- Investigate fraud, chargebacks, abuse, delivery issues, and security incidents.
- Respond to support and privacy requests.
- Maintain tax, accounting, operational, dispute, compliance, and legal records.
- Improve website performance and accessibility.
- Send optional marketing only when permitted and after any consent required by law.
Research-access records
The research gate uses a first-party browser cookie that normally remains valid for 30 days. The cookie is host-specific and designed to be Secure, HttpOnly, and SameSite=Lax. It allows that browser to present evidence of an existing confirmation without repeating the gate on every visit. Logging in from another browser does not transfer the cookie.
Royal Aminos also maintains an append-only audit event that may contain the acceptance time, researcher classification, terms version, policy fingerprint, account identifier when available, IP address, email hash, token hash, user-agent hash, and signed evidence. This record documents the electronic transaction; it does not independently verify professional credentials.
Order-level attestation
Checkout requires a separate research-use confirmation tied to the order. The order and audit record may retain the exact confirmation, researcher classification, terms version, timestamp, IP address, session and cart hashes, order identifier, and integrity evidence. Where an eligible privacy request applies, direct identifiers may be removed or replaced with pseudonymous hashes while the transaction and compliance evidence remains retained.
Discount and referral records
WELCOME25 uses account, email, and billing or delivery identity information to enforce first-order and one-use restrictions. Royal Aminos stores cryptographic claim hashes rather than a readable address in the dedicated claim record. A minimal redeemed claim may be retained after account or order erasure to prevent repeated use of the one-time offer.
A valid affiliate link may set a separate first-party attribution cookie for 60 days. The affiliate cookie and the research-access cookie serve different purposes. Referral identity and commission information are stamped on the order. Affiliate dashboards display only a masked customer email and do not provide the customer’s full address or complete email address.
Other cookies
WordPress, WooCommerce, and Royal Aminos may use essential cookies or local storage for the research gate, cart, checkout, login, account security, preferences, and referral attribution. Blocking essential cookies may prevent the gate, cart, checkout, or account from functioning.
Royal Aminos will update this Policy and deploy any legally required notice, consent, opt-out, or preference-signal control before enabling nonessential advertising or cross-site tracking technology.
Payment processing
Payment providers process payment credentials under their own terms and privacy policies. Royal Aminos may receive a transaction identifier, payment status, billing details, fraud-screening result, token, or limited card information. The provider selected at checkout should be reviewed before payment is submitted.
Service providers and disclosures
Royal Aminos may disclose information to providers that perform hosting, website security, e-commerce, payment processing, fraud prevention, email delivery, customer support, shipping, carrier, label, accounting, affiliate administration, legal, or professional services. Current infrastructure may include Bluehost, WordPress, WooCommerce, enabled payment providers, and selected carriers.
Providers receive only information reasonably necessary to perform their service and may process it under their own terms. We may also disclose information:
- To comply with a lawful request, court order, or legal obligation.
- To prevent fraud, abuse, unauthorized access, or threats to safety and rights.
- To enforce contracts or investigate a dispute.
- In connection with a merger, acquisition, financing, reorganization, or transfer of business assets, subject to applicable law.
No sale of personal information
Royal Aminos does not sell personal information for money. As of the effective date, Royal Aminos does not knowingly share personal information for cross-context behavioral advertising. Referral commission paid to an affiliate is compensation for an attributed order and does not give that affiliate access to unmasked customer information.
If future advertising or analytics technology changes this statement under applicable law, this Policy and the required opt-out controls will be updated before that use begins.
Email and telephone communications
Royal Aminos may send transactional messages concerning access, verification, payments, orders, shipping, product documentation, security, policy changes, claims, affiliate accounting, or support. A support request does not enroll you in marketing.
Any future promotional email will include a working unsubscribe method. Promotional text messaging, if introduced, will use a separate enrollment process and the controls required by applicable law.
Retention
Royal Aminos retains information only as long as reasonably necessary for the purpose collected, including transaction, tax, accounting, security, dispute, fraud-prevention, product-traceability, and compliance needs. The general retention framework is:
- Completed, refunded, and paid-cancelled orders; payment metadata; order attestations; policy snapshots; tax records; and lot/COA transaction references: generally seven years after the record closes.
- Standalone access-gate events not associated with an order, dispute, or security investigation: generally 12 months.
- Support, return, carrier, chargeback, and dispute files: generally four years after closure.
- Routine security and error logs: generally 90 days; incident-related records may be retained longer.
- Unpaid failed or abandoned checkout records: generally 30 days after last activity, subject to the capabilities of WooCommerce and enabled service providers.
- Account information: while the account remains active, followed by deletion or anonymization when appropriate, while transaction records subject to a retention obligation remain preserved separately.
- Affiliate applications, acceptances, ledgers, payout records, refund reversals, recoveries, and tax records: generally seven years after the relationship and all accounting matters close. Minimal evidence may remain longer while a recovery, dispute, legal hold, or unresolved accounting obligation exists.
- WELCOME25 redemption evidence: a minimal pseudonymous claim may remain for as long as necessary to enforce the one-use offer and prevent abuse.
- Marketing consent and suppression evidence: while subscribed and for a reasonable period after withdrawal so the opt-out can continue to be honored.
Backup copies follow the hosting provider’s overwrite schedule and are not used for ordinary operations. A legal hold, active transaction, tax requirement, fraud review, security incident, claim, chargeback, or dispute may require longer retention.
Security
Royal Aminos uses administrative and technical measures appropriate to its operations, including access controls, one-use verification tokens, hashed evidence, signed records, and secure transport. No website, transmission, or storage system can be guaranteed completely secure.
Your choices and privacy rights
You may update account or checkout information, manage browser cookies, unsubscribe from promotional email, and request access, correction, deletion, or a copy of personal information where applicable law provides that right. Royal Aminos may verify identity before completing a request.
Certain information may be retained where necessary for an order, tax record, legal obligation, fraud prevention, promotion enforcement, affiliate accounting, dispute, chargeback, product traceability, or another lawful exception. Erasure may pseudonymize retained evidence rather than destroy the underlying transaction record.
Affiliate accounts with attributed orders, commission history, payouts, recoveries, or refund exposure require manual review before deletion because later payment and refund changes can affect the accounting ledger.
Send requests to support@royalaminos.org with “Privacy Request” in the subject. If applicable law provides a right to appeal a denied request, reply with “Privacy Appeal” and explain the basis for the appeal.
State privacy rights
Residents of states with applicable privacy laws may have rights to access, correct, delete, or obtain a portable copy of personal information and to opt out of certain sale, sharing, targeted advertising, or profiling. Royal Aminos will not unlawfully discriminate against a person for exercising an applicable privacy right.
Where legally required, Royal Aminos will recognize an applicable opt-out preference signal such as Global Privacy Control. Royal Aminos does not presently respond to the older, non-standardized “Do Not Track” browser setting.
People under 21
The storefront is not intended for anyone under 21. Royal Aminos does not knowingly authorize access or purchases by a person under 21. Contact support if you believe an underage person submitted information.
Changes to this Policy
Royal Aminos may update this Policy as services, providers, technology, business practices, or law change. The current version and updated date will remain available on the website. A material change tied to research access or an order may require new affirmative acceptance.
